Terms and Conditions

 

The following terms and conditions are in place to clarify what it means to book with Roam Mountains. Participants and groups refers to anyone who has made a booking by either paying a deposit, the full amount or in participating in an activity provided by Roam Mountains.

Where an individual is booking on behalf of others, the group’s acceptance of these terms and conditions is given through the booking organiser.

  1. Qualifications and insurance

    1.1 All activities are conducted by staff who have been trained and assessed according to industry standards to lead those activities in the environment participants are taken into. This includes holding an up-to-date outdoor first aid qualification.

    1.2 Staff have recent experience of the activity and hold professional association membership and adhere to the Continued Professional Development minimums to be a member, therefore staying current and up to date.

    1.3 Roam Mountains holds public liability, professional indemnity and employers’ liability insurance.

  2. Staffing

    In some circumstances other staff may be brought in on courses for their experience and expertise, or due to a change of circumstances. We reserve the right to do this without notifying participants and groups.

  3. Risk

    The activities and environment Roam Mountains operate in have inherent risk including of serious injury and death.

    Roams Mountains mitigate this risk but cannot eliminate it.

    It is a requirement that all participants agree to the BMC statement of participation acknowledging the risk involved. The BMC statement says,

    The participant recognises that climbing and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions.”

  4. Medical Declarations

    4.1 It is your responsibility to declare any pre-existing medical condition or injury before the start. There are few conditions we can’t accommodate with notice.

    4.2 During your time with us it is your responsibility to notify us of any medical conditions or injuries which develop during the duration of the course or activity.

  5. Working with Under 18s and vulnerable adults

    5.1 The majority of courses and activities are designed for adults, therefore we may ask for your date of birth before a course.

    5.2 Roam Mountains can only work with under 18s if they are accompanied by their parent or legal guardian.

  6. Decision making, venues and participant bahaviour

    6.1 Your leader, instructor or guide’s decision is final, which is made on safety grounds and the needs of the group. It may mean that the objective of the day or course change.

    6.2 The leader, instructor or guide will choose a venue which best achieves the aims of the individual or group with the given weather and conditions. This may not be the activity or place which was envisaged, or advertised. It may be an indoor climbing wall or a low level option or a skills based option. Any additional costs, such as climbing wall entry are met by participants.

    6.3 Participants must behaviour in an appropriate and safe manner. If any participant acts in a way that compromises safety or negatively impacts the experience of other group members the participant can be asked to leave the course or activity at their own expense.

  7. Kit

    7.1 A kit list is provided to all participants. If a participant is not deemed to be adequately equipped then the activity may have to be modified or the cost of the purchase of extra kit or kit hire met by the participant.

    7.2 Personal losses or damage to kit are not covered.

    7.3 Should any loss or damage of kit or equipment owned by the leader, instructor or guide occur due to negligence or lack of care we may seek to recover the cost from either the participant or group.

  8. Payment

    8.1 A minimum of a prior agreed deposit is required to secure the dates or a course place. Full payment is required a minimum of 4 weeks before the start date.

    8.2 participant is responsible for covering international bank transfer and payment fees.

  9. Cancellation Policy

    9.1 If Roam Mountains is required to cancel a course, participants with be notified immediately and will be offered the choice of a reschedule or a full refund.

    9.2 In the unlikely event of a group course dropping below minimum numbers, we reserve the right to cancel the course and would offer the choice of a reschedule or a full refund. We would endeavour to notify you as soon as possible.

    9.3 Roam Mountains is not responsible for any incidental costs of cancellation, such as travel and accommodation. If is recommended that participants take out insurance and/or make refundable bookings.

    9.4 If you as a participant need to cancel you must inform us as soon as possible.

    9.5 Participant cancellations up to eight weeks before the course will receive a full refund (minus any administration fees and booking fees including hut bookings); less than eight weeks a refund minus the deposit and booking fees. Between four and two weeks before the course a 50% refund; less than two weeks before the course date no refund. If the course is full and a replacement is found or someone from a reserve list takes the place a full refund (minus booking fees) will be given.

    9.6 Roam Mountains recommends that participants take out their own injury and cancellation policy for the course in case a participant has to cancel after the refund period. The BMC provide this insurance.

  10. Patreon Support Scheme

    10.1 Patreon days must be agreed and booked in before the the subscription is ended.

    10.2 Cancellation of any day is subject to the cancellation policy in Section 9.

  11. Vouchers

    11.1 The recipient of the voucher is responsible for booking.

    11.2 Bookings through a voucher is subject to availability and activities offered.

    11.3 Once a day or course is booked it is subject to the cancellation policy in Section 9.
